Refund, Cancellation and Rescheduling Policy
A legal disclaimer

Last updated: 25 October 2026
At Ithaca, we are committed to delivering engaging, practical and meaningful learning experiences. We understand that circumstances can change, and we aim to handle cancellations, rescheduling requests and refund enquiries fairly and transparently.
This policy applies to public workshops, courses, corporate training and customised learning programmes provided by Ithaca, unless different terms have been agreed in writing.
1. Public Workshops and Courses
Registrations for public workshops and courses are subject to availability and confirmation by Ithaca.
Participants who wish to cancel a booking must notify Ithaca in writing by email. The date Ithaca receives the cancellation notice will determine the applicable cancellation terms.
Unless otherwise stated at the time of booking, the following terms apply:
-
30 or more calendar days before the programme: A full refund of fees paid for the cancelled booking will be provided.
-
15–29 calendar days before the programme: A refund of 50% of the programme fee will be provided.
-
14 calendar days or fewer before the programme: No refund will ordinarily be provided.
Where payment has not yet been made, any applicable cancellation charges will be invoiced in accordance with the booking terms.
These terms are subject to applicable consumer protection laws and any mandatory rights or remedies available to the participant.
2. Corporate Training and Customised Programmes
Corporate training, customised workshops and consultancy engagements (including those for community based organisations, not for profit organisations as well as government & government related agencies) may involve programme design, preparation, resource allocation and other commitments before delivery.
The applicable cancellation, rescheduling and payment terms will be set out in the accepted quotation, proposal, contract or written booking confirmation.
Where no separate cancellation or rescheduling terms have been agreed in writing, the following default terms apply:
-
30 or more calendar days before the programme: The client may cancel or reschedule without a cancellation / rescheduling fee, except for reasonable, documented and non-recoverable costs already incurred specifically for the engagement, where legally permissible.
-
15–29 calendar days before the programme: A cancellation / rescheduling charge of up to 50% of the agreed programme fee may apply, taking into account work completed, committed resources and costs avoided as a result of the cancellation.
-
14 calendar days or fewer before the programme: A cancellation / rescheduling charge of up to 100% of the agreed programme fee may apply where justified by work completed, committed resources and costs that cannot reasonably be avoided or recovered.
Any cancellation charge will be assessed fairly, with consideration given to the work performed, costs incurred, costs saved and the circumstances of the cancellation. Ithaca will not charge twice for the same cost or seek payment beyond what is contractually due and legally permissible.
For customised programmes, work already completed and separately agreed fees for that work may remain payable following cancellation, subject to the applicable agreement and law.
3. Rescheduling and Participant Substitutions
Participants and corporate clients should contact Ithaca 30 days in advance if they need to change a booking.
Requests to transfer a place to another scheduled session, reschedule a programme or substitute another participant will be considered subject to availability, programme requirements and any agreed contractual terms.
Ithaca will make reasonable efforts to accommodate such requests. Additional charges, if any, will be communicated before the change is confirmed.
4. Cancellations or Changes by Ithaca
If Ithaca cancels a public workshop or course and cannot provide a suitable alternative, participants will receive a full refund of fees paid for the affected programme.
For corporate training and customised engagements, Ithaca will work with the client to agree on an appropriate alternative date or other reasonable resolution. If the engagement is cancelled by Ithaca and no alternative is agreed, any refund or adjustment will be determined under the applicable agreement and law, taking into account services already delivered.
If a programme must be postponed or materially changed due to circumstances beyond Ithaca’s reasonable control, Ithaca will notify affected participants or clients as soon as practicable and discuss available alternatives.
5. Non-Attendance
Participants who do not attend a confirmed programme without giving the required notice will not ordinarily be entitled to a refund.
For corporate bookings, fees and any applicable cancellation charges for non-attendance will be governed by the accepted quotation, contract or booking confirmation and this policy where applicable.
6. Invoicing and Payment
Ithaca generally invoices clients after programme delivery or in accordance with payment terms agreed in advance.
The applicable quotation, contract, booking confirmation or invoice will specify the relevant payment arrangements and due dates.
Where a cancellation charge applies, Ithaca will issue an invoice or adjusted invoice reflecting the amount properly due. Where an invoice has already been paid and a refund is approved, the refund will be processed in accordance with this policy.
Clients should contact Ithaca promptly if they have a question or dispute concerning an invoice or cancellation charge.
7. Refund Processing
Approved refunds will ordinarily be processed within 14 business days of confirmation of the refund amount.
Refunds will be returned through the original payment method wherever practicable. The time taken for the funds to appear may depend on the payment provider or financial institution.
If a booking was made through a third-party platform or intermediary, the refund process may be subject to that provider’s procedures, without limiting any applicable legal rights.
8. Exceptional Circumstances
Ithaca recognises that illness, emergencies and other unforeseen circumstances may affect attendance.
Requests for exceptions to the standard cancellation terms will be considered on a case-by-case basis. Where appropriate, Ithaca may offer a transfer, credit or partial refund.
Any such arrangement will be confirmed in writing.
9. Consumer Protection and Applicable Law
Nothing in this policy excludes, restricts or modifies any rights, guarantees, remedies or cancellation rights that cannot lawfully be excluded, restricted or modified under applicable law.
Ithaca aims to apply this policy fairly and transparently. Where a provision of this policy conflicts with a mandatory legal requirement, the applicable legal requirement will prevail.
